How I Found the Perfect Rental for a Flexible Client


As a real estate agent, I’ve seen it all—the frantic, last-minute rental searches, can be especially hard on my clients.

One recent experience stands out as a perfect example of how quick thinking and strategy can lead to finding a rental property, even when time is running out. It was one of those situations where a client needed a place now, and we had less than two weeks to make it happen.

Here’s how it all went down and how you can pull off a similar feat if you ever find yourself in a time crunch.

When the Clock Is Ticking: Stay Calm and Prioritize

I got a call from Brad, who had relocated to Toronto from Sudbury. He was referred to me by a past client.

Brad had been staying at an Airbnb for two months, hoping to find a permanent rental during that time but didn’t have any luck. Now, his Airbnb stay was about to end, and panic was setting in.

While Brad was stressed, I stayed calm. My first rule when the clock is ticking is to stay calm, and I got to work.

Brad’s wish list included:

Downtown Toronto to be close to work

1-bedroom plus den

Balcony

Ensuite laundry

Parking

I knew we had to move fast, but first, I had to help him prioritize. Time was of the essence, and it might not be possible to check every box on his list.

Brad decided that location and ensuite laundry were non-negotiable.

Focused Viewings for Quick Decisions

Within a few hours, I had lined up 3 solid options for viewings the next day.

With less than two weeks to find something, we couldn’t waste time. Here’s the key: focused viewings allow you to move quickly without sacrificing quality or rushing into a decision.

We checked out 3 units back-to-back:

  • The first unit was in a great location, but the space didn’t have a balcony.

  • The second had a balcony and parking, but coin laundry was in the basement.

  • The third was a short TTC ride to work, balcony, and ensuite laundry. The only downside? No parking.

Even though Brad had a car, we decided this was a small hurdle compared to everything else the unit offered. He was flexible and figured he could find someone in the building renting out their parking spot, a common solution in Toronto.

Here’s my advice: even when time is tight, take a few moments after each viewing to write down pros and cons. Trust your gut, but also make sure you aren’t overlooking something important in the rush.

Making It Happen: Sealing the Deal Fast

Once Brad decided on the third unit, I knew we had to move quickly. In Toronto’s rental market, desirable properties get snapped up fast. We submitted an application with everything ready to go, including:

  • Proof of employment (Brad had his job contract on hand) & paystubs

  • References from his previous landlord

  • A credit report, which I always recommend my clients prepare ahead of time

One final tip: have your deposit and documents ready before you start your search. This way, you can act quickly when you find the right spot. In Brad’s case, being prepared helped him get approved within 24 hours.

Key Lesson: Being Prepared and Flexible Makes All the Difference

Looking back, it was definitely a stressful experience. But it confirmed what I’ve seen many times: when you're short on time, being prepared and staying flexible is everything. Brad had to give up on getting parking, but we came up with a smart solution that worked out.

For renters out there facing a time crunch, my advice is simple:

  • Prioritize your must-haves and be willing to compromise on the rest.

  • Stay organized with your paperwork and budget so you can move quickly when needed.

At the end of the day, even if you’re in a last-minute scramble, finding a rental doesn’t have to be stressful. With the right approach, you can land your dream apartment in record time—and maybe even enjoy the process.
